FAQ for coaches, teachers, and parent groups
Can SigFetch send one waiver to my whole team at once?
Yes. Save the waiver as a template in SigFetch, save your families as a contact group, and send the template to the group. Every family gets their own separate copy to sign, with its own audit trail and Certificate of Completion — not one shared document with 25 signature lines. Batches are capped at 50 recipients, so a larger league or grade level goes out as two or three sends.
Who signs when the player or student is under 18?
A parent or legal guardian. Put the parent's name and email on the roster in SigFetch and they sign on behalf of the child. If a form needs both the student and a parent to sign, add the parent as the family's signer and yourself or the student as an additional signer on every copy. Whether a liability waiver signed for a minor is enforceable varies by state, especially for higher-risk activities, so check your league's or district's guidance.
Do parents need an account or an app to sign?
No. Each parent gets an email from SigFetch with a link, opens it on whatever phone or computer they have, and signs in the browser. No account, no download, no password. Signing takes about a minute.
Is an electronically signed permission slip or waiver legally binding?
Generally yes. Under the US ESIGN Act and UETA, an electronic signature has the same legal effect as one on paper when the signer intended to sign and the signature can be attributed to them. SigFetch records each parent's consent, timestamp, IP address, and browser, and binds them to the signed PDF with a SHA-256 hash and a Certificate of Completion. Your school or league may still have its own rules about which forms it accepts electronically, so ask if you're not sure.
Is SigFetch free for teams, leagues, PTAs, and schools?
SigFetch is free for everyone, so yes. There's no per-seat price, no cap on how many forms or families, and no card on file. It runs on donations from people who find it useful. One thing to know: accounts are single-user, so an assistant coach or co-chair who also sends forms sets up their own free account rather than sharing your login.
Can I use SigFetch for sports physicals or medical forms?
SigFetch is not offered as HIPAA-compliant. That's usually not the rule that applies to a youth league or parent group collecting an emergency-contact form, but if your form asks for medical history or a physician's sign-off, treat it with that in mind and follow whatever your league or district requires for health information.
Can a teacher or a school use SigFetch?
Yes. Teachers, coaches, club advisors, PTAs, and booster clubs use SigFetch for the forms they send to parents. Schools and districts have their own guidelines about which tools and forms they allow, so follow your local guidelines and check with your school if you're not sure.
How do I know which families haven't signed yet?
Every family's copy is its own document in your SigFetch list, with its status right next to it: sent, viewed, signed, or declined. Anyone who hasn't responded after three days gets one automatic reminder, and you can resend to any family with one click. Unsigned forms expire about 30 days after sending, so send a fresh copy if a family joins late.
