FAQ for HR & hiring

Are e-signatures legally binding for offer letters and employment documents?

Yes. Offer letters, NDAs, contractor agreements, and policy acknowledgments are ordinary documents that can be signed electronically under the US ESIGN Act and UETA, generally with the same legal effect as signatures on paper — as long as the signer intended to sign, consented to sign electronically, and the signature is attributable to them. SigFetch records consent, timestamp, IP, and browser, and binds them to the signed PDF via a SHA-256 hash and Certificate of Completion.

Can I use SigFetch for Form I-9?

No, and I'd rather say so plainly than let you find out during an audit. Form I-9 has its own federal rules for electronic completion, signature, identity-document examination, retention, and E-Verify integration, and SigFetch doesn't implement them. Use a dedicated I-9/E-Verify product for employment eligibility verification. SigFetch is the right tool for the offer letter, the NDA, and the handbook acknowledgment.

Can I track who has acknowledged a policy or handbook?

Yes. Every acknowledgment completed through SigFetch produces a dated, audit-trailed record showing who signed, when, and from where, bound to the exact document version they saw. If a policy is ever disputed, that's the paper trail you want.

Can I send the same onboarding packet to every new hire?

Yes. Save your offer letter, NDA, and acknowledgments as reusable SigFetch templates, then slot in each new hire's name and email at send time. No rebuilding the packet per person.

Is SigFetch really free, even as we keep hiring?

How is sensitive employee data handled?

Documents are encrypted at rest, and signed PDFs come back byte-identical, so they'll still verify later. Two honest caveats: as a free service, SigFetch doesn't promise indefinite retention — download personnel records and file them per your own retention policy — and SigFetch is not offered as HIPAA-compliant, so keep protected health information out of it.
